Run your whole agency from one place.
The operating system for agencies. Run intake, quotes, invoices, contracts and finance on one shared client record, so a project goes from first message to paid without anyone re-typing it along the way.
Fewer tools.Less busywork.Clearer numbers.
You didn’t start a studio to become an admin. But between the first email and the final invoice, the work gets buried, a brief in one tool, a quote in another, a spreadsheet that never quite matches. The studios you admire don’t run this way. SystemOS keeps it all on one thread, so you can get back to the part you actually love: the work.
Each one hands off to the next.
Forms, Bookings, Documents and Finances are not four apps that sync overnight. They are four views of one client record, so the budget a client types on Monday is in your margin figure by the time you get paid.
Forms
The client answers once. Their budget is the quote's first line.
Conditional questions branch on the answers, so a €5k enquiry and a €50k one never see the same form.
- Steps
- Choices, text, dial, CTA, booking
- Runner
- Keyboard-first, on your own link
- Tracked
- Visit, start, complete, drop-off
Bookings
The kickoff books itself onto the same record as the brief.
Google Calendar is read live, so a slot that filled two minutes ago is already gone from your booking page.
- Scheduling
- Native, or bring your Cal.com
- Availability
- Your real free and busy
- On confirm
- Calendar event with a Meet link
Documents
An accepted quote becomes the invoice. Nothing re-keyed.
Issued invoices lock. Corrections go through corrective invoices that net out on their own, so the books stay clean.
- Types
- Quotes, invoices, contracts, notes
- Signing
- In browser, timestamped, logged
- Sharing
- One link, password optional
Finances
Every invoice is in the figure. No month-end spreadsheet.
Receipts are read for you, even the unreadable PDFs, and export as a DATEV batch your advisor accepts.
- Receipts
- PDF import, image read as fallback
- Costs
- Recurring subscriptions, due alerts
- Export
- DATEV Buchungsstapel
Say it. It builds it. You decide.
One assistant on ⌘S. It drafts the quote, the form, the booking link or the receipt, and shows you the result before anything is saved.
Quotes
Name the client and the brief. It matches lines from your catalog, prices them, and hands you a draft to sign off.
Forms
Describe the project and it builds the intake: sections, question types, and a link. Answers arrive on the client record.
Receipts
Drop in a PDF or a phone photo. It reads vendor, VAT and total, files it, and notices when a cost is recurring.
Bookings
Say when you take calls. It creates the booking type against your real calendar and gives you the link.
What you can achieve with
SystemOS in your first week.
Bring last year in
- Drop in your past invoices as PDFs, they get read for you
- Add receipts and recurring costs against them
- See margin per client for the first time
Run one project through
- Send an intake link and watch the brief arrive structured
- Turn that brief into a priced quote, signed in the browser
- Book the kickoff from the same client record
Close the loop
- Convert the quote to an invoice in one click
- Track it through to paid without leaving the record
- Hand your advisor a clean export, not a folder of PDFs
One toolset for everything a client needs. Nothing you don’t.
Every step of the work lives in the same place and shares the same data, so a lead moves from first contact to paid without ever leaving SystemOS.
Every lead arrives already qualified.
A multi-step, conditional questionnaire on its own systemos.so/f/start link. Responses stream in live as they are answered, map to structured client fields, and convert to a pre-filled quote in one click. No re-typing, no lost context.
Quotes, invoices and contracts, all digital.
One editor for quotes, invoices and contracts. Line items with quantities, per-document VAT and currency, sequential numbering, and issued invoices that stay immutable while corrections net out automatically. Sign in-browser, timestamped.
signature
See real profit, not just revenue.
Every confirmed invoice and logged receipt rolls up into live revenue, outstanding and cost figures. See margin per client and per month, with top-client allocation, no CSV exports or spreadsheet reconciliation at month end.

An assistant that asks before it writes.
Say what you want on ⌘S and it turns a sentence into one action you confirm: a quote drafted from your catalog, a form built from a brief, a receipt read off a PDF. It never writes silently, and without an API key the heuristic parsers take over instead of inventing an answer.
Keep the whole team on the same page.
Notes, todos and @mentions keep the whole team on one thread. A live activity feed logs every state change, form completed, quote viewed, invoice paid, in real time, so the team stays current without a status meeting.
Run the business.
Love the work.
The admin runs quietly in the background, so your best hours go where they belong, into the craft your clients actually pay for.

Only the people you invite. Your clients, documents, invoices and every figure behind them belong to your workspace, and each request checks that before it answers. There is no address another customer can type to reach your revenue, and nothing is pooled or shared between workspaces. The only pages open to the internet are the share links you create yourself, and you can put a password on those. Your login password is stored scrambled one way, so not even we can read it back, and you can switch on two-factor plus a password prompt before anything sensitive changes. If you ever want out, you export the whole workspace and take it with you.
They get a link. They open it, read the quote or contract, sign it with their mouse or finger and save a PDF. No account, no password to invent, no software to install. If the document is sensitive you can put a password on the link, and until they type it the document never reaches their browser at all.
It is a simple electronic signature, which is the right tool for proposals, quotes and service agreements. That covers most agency work. We record who signed and exactly when. Some contract types in some countries need a notarised or qualified signature instead, so check with your advisor if you are unsure. We would rather tell you now than let you find out later.
Every document carries its own VAT rate and currency, so the totals add up without a spreadsheet next to it. Once you send an invoice it locks, because that is what the tax office expects. If something was wrong, you send a correction that cancels it out automatically instead of quietly editing the original. One thing we have not built yet: discounts on individual lines.
Yes. One export gives them a file they can import directly, receipts included, so there is no evening spent renaming PDFs. You can also drop your old invoices in as PDFs and SystemOS reads them for you. You check the numbers before anything is saved.
It still gets saved. Nothing disappears from your costs just because a PDF was crooked or blurry. It is filed with the original attached and flagged so you can fill in what is missing. Scans with no readable text get read as an image instead.
No. There is a booking page built in if you want one, or keep the Cal.com you already use. Either way your Google Calendar decides which slots you are genuinely free, so you do not get booked over a school run, and confirmed calls arrive with a Meet link attached.
Everyone is in at the same time, each with their own login and their own role. Tag someone on a to-do and they get a notification. A bell shows what changed while you were away, with a link straight to the thing that changed. It can post to Slack too, if that is where your team already lives.
No. It drafts quotes, builds forms from a brief and reads receipts, and it always shows you the result and waits for you to confirm before saving anything. Switch it off and the normal tools carry on working. It will tell you when it cannot do something rather than invent an answer to look clever.
Bring your invoices and receipts as PDFs or photos and they get read for you. Clients are added as you work, so there is no big import to get through before you can start. If you are moving years of history, talk to us before you begin rather than halfway through.
No. SystemOS is in private beta: you request access, we set up your workspace on a call and move your open clients across, and billing starts when you decide to stay. There is no card and no clock on the beta.
You pay per person. Add someone and the bill adjusts on its own, remove them and it adjusts back. There is no plan to remember to change and no surprise at the end of the month.
