What it is like to use, what your clients see, and what happens to your money. Still stuck? Book a demo →

Only the people you invite. Your clients, documents, invoices and every figure behind them belong to your workspace, and each request checks that before it answers. There is no address another customer can type to reach your revenue, and nothing is pooled or shared between workspaces. The only pages open to the internet are the share links you create yourself, and you can put a password on those. Your login password is stored scrambled one way, so not even we can read it back, and you can switch on two-factor plus a password prompt before anything sensitive changes. If you ever want out, you export the whole workspace and take it with you.

They get a link. They open it, read the quote or contract, sign it with their mouse or finger and save a PDF. No account, no password to invent, no software to install. If the document is sensitive you can put a password on the link, and until they type it the document never reaches their browser at all.

It is a simple electronic signature, which is the right tool for proposals, quotes and service agreements. That covers most agency work. We record who signed and exactly when. Some contract types in some countries need a notarised or qualified signature instead, so check with your advisor if you are unsure. We would rather tell you now than let you find out later.

Every document carries its own VAT rate and currency, so the totals add up without a spreadsheet next to it. Once you send an invoice it locks, because that is what the tax office expects. If something was wrong, you send a correction that cancels it out automatically instead of quietly editing the original. One thing we have not built yet: discounts on individual lines.

Yes. One export gives them a file they can import directly, receipts included, so there is no evening spent renaming PDFs. You can also drop your old invoices in as PDFs and SystemOS reads them for you. You check the numbers before anything is saved.

It still gets saved. Nothing disappears from your costs just because a PDF was crooked or blurry. It is filed with the original attached and flagged so you can fill in what is missing. Scans with no readable text get read as an image instead.

No. There is a booking page built in if you want one, or keep the Cal.com you already use. Either way your Google Calendar decides which slots you are genuinely free, so you do not get booked over a school run, and confirmed calls arrive with a Meet link attached.

Everyone is in at the same time, each with their own login and their own role. Tag someone on a to-do and they get a notification. A bell shows what changed while you were away, with a link straight to the thing that changed. It can post to Slack too, if that is where your team already lives.

No. It drafts quotes, builds forms from a brief and reads receipts, and it always shows you the result and waits for you to confirm before saving anything. Switch it off and the normal tools carry on working. It will tell you when it cannot do something rather than invent an answer to look clever.

Bring your invoices and receipts as PDFs or photos and they get read for you. Clients are added as you work, so there is no big import to get through before you can start. If you are moving years of history, talk to us before you begin rather than halfway through.

No. SystemOS is in private beta: you request access, we set up your workspace on a call and move your open clients across, and billing starts when you decide to stay. There is no card and no clock on the beta.

You pay per person. Add someone and the bill adjusts on its own, remove them and it adjusts back. There is no plan to remember to change and no surprise at the end of the month.
