Documents

Quotes, invoices and contracts your clients open, read and sign in the browser.

A document in SystemOS is a live page, not a PDF attachment. You edit on the left, the preview on the right is exactly what your client sees, and sharing is one link.

Quotes

  • Line items with quantities, optional positions, scope bullets and durations.
  • Pick items straight from your catalog, or write custom lines and save them back to the catalog for next time.
  • Draft from a briefing: paste what the client wrote, get proposed line items priced from your catalog to review.
  • Online signature turns a quote into an agreement, with name, drawn signature and timestamp.

Invoices

  • VAT handling, partial payments, and an amount-due line that updates as payments land.
  • Sent invoices are immutable, corrections happen through a corrective (negative) invoice, the bookkeeping-safe way.
  • Import an existing PDF invoice and SystemOS recreates it as an editable document.

From quote to invoice

Once a quote is out (sent, viewed or signed), it shows a Create invoice card. One click copies the client, currency, VAT, line items and terms into a fresh draft invoice with its own number, and the two stay linked: the quote shows which invoice billed it, the invoice shows which quote it came from. Nothing is re-typed, so nothing drifts apart.

Contracts

Numbered clauses, both signatures online, and a locked state once signed. Any share link, contract or not, can be password-protected under the editor's Sharing tab.

Status flows on its own: draft → sent → viewed → signed/paid. You see the moment a client first opens the link.
